Introduction
This Privacy Policy explains how Solve Technology ("Solve," "we," "us," or "our") collects, uses, discloses, and protects information in connection with the Fixelo mobile application and the Fixelo web administration application (together, "Fixelo" or the "Service").
Fixelo is a work-order, maintenance, and inventory-management platform built for hotels and similar properties. It is primarily a workplace tool: most people use Fixelo through an account provided by their employer or property operator (the "Organization") that subscribes to the Service.
If you access Fixelo through an Organization, that Organization administers your account and decides what information is entered into the Service and how it is used. In that case, we process information on the Organization's behalf as its service provider, and the Organization's own privacy practices also apply. If you have questions about your Organization's practices, please contact your administrator.
By using Fixelo, you acknowledge the practices described in this Policy.
Information We Collect
We collect the following categories of information:
- Account information. When an account is created for you, we collect your name, a Fixelo login email address (which may be system-generated), your assigned role (for example, requester, technician, or administrator), and authentication credentials. Passwords are stored only in hashed form.
- Work content you submit. As you use Fixelo, we collect the information you enter, including work orders and service requests; repair and maintenance records; labor time and hours logged; inventory items, stock levels, and notes; property, building, unit, and room identifiers; billing-related details such as parts, quantities, and labor or service line items; and any comments or notes you add.
- Photos and files. If you attach photos or files to a record (for example, a photo of a repair), we collect and store those images and files. The mobile app may request access to your camera and photo library for this purpose; you control these permissions in your device settings.
- Support communications. If you contact us for support, we collect the information you provide, such as your name, email address, and the contents of your message.
- Device and usage information. We automatically collect limited technical information such as device type and operating system, app version, IP address, and log and diagnostic data (including crash reports) used to operate, secure, and improve the Service.
Fixelo does not collect precise background geolocation from your device. Any "location" in the Service refers to the property, building, unit, or room identifiers that users enter to describe where work is performed.
How We Use Information
We use the information described above to:
- provide, operate, and maintain the Service — including creating and tracking work orders, time logs, inventory, and billing records;
- authenticate users and keep accounts secure;
- enable the features you and your Organization use, such as assigning work, attaching photos, and generating billing summaries;
- respond to support requests and communicate with you about the Service;
- monitor, troubleshoot, and improve the performance, reliability, and security of the Service;
- detect, prevent, and address fraud, abuse, or technical issues; and
- comply with legal obligations and enforce our agreements.
We do not sell your personal information, and we do not use it for cross-context behavioral advertising.
Data Retention
We retain information for as long as needed to provide the Service and for the legitimate business and legal purposes described in this Policy. Because Fixelo is a workplace tool, records such as work orders, time logs, and billing history are generally retained for your Organization while its account is active. When information is no longer needed, we delete or de-identify it, subject to any retention required by law.
Security
We use reasonable technical and organizational measures designed to protect information, including encryption of data in transit, access controls, and hashed storage of passwords. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
Your Choices and Rights
Depending on where you live, you may have rights to access, correct, update, delete, or obtain a copy of your personal information, or to object to or restrict certain processing.
Because accounts are typically administered by your Organization, the easiest way to exercise these rights is usually through your administrator. You may also contact us using the details below, and we will respond consistent with applicable law. We may need to verify your identity before acting on a request, and we may retain certain information as required for legal or legitimate business purposes.
California residents. We do not sell or "share" personal information as those terms are defined under California law, and we do not use it for cross-context behavioral advertising. You may request to know, access, correct, or delete your personal information, and you have the right not to receive discriminatory treatment for exercising these rights.
EEA and UK users. Where applicable data-protection law applies, we process personal information under legal bases including performance of a contract, our legitimate interests in operating and securing the Service, your consent, and compliance with legal obligations. You may have the right to lodge a complaint with your local supervisory authority.
Account and Data Deletion
You can request deletion of your account and associated personal information at any time. Because accounts are provisioned by your Organization, please make deletion requests through your Organization's administrator, or contact us directly at the email below and we will coordinate the request.
After verification, we will delete or de-identify the relevant personal information within a reasonable period, except where we are required or permitted to retain it (for example, for legal, security, or recordkeeping purposes). Records your Organization is required to keep — such as completed work orders or billing history — may be retained by the Organization.
Children's Privacy
Fixelo is a workplace tool intended for employees and authorized personnel. It is not directed to children, and we do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us information, please contact us and we will take appropriate steps to delete it.
International Data Transfers
Fixelo is operated from the United States, and information we collect may be processed and stored in the United States or other countries where we or our service providers operate. These countries may have data-protection laws different from those in your own. Where required, we take steps to ensure appropriate safeguards for such transfers.
Third-Party Services and Links
Fixelo may interoperate with, or contain links to, third-party services. This Policy does not apply to those third parties, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party services you use.
Changes to This Policy
We may update this Policy from time to time. When we make material changes, we will revise the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of Fixelo after an update means you acknowledge the revised Policy.
